Send us fifty pages that you consider difficult. We return them processed, with the OCR accuracy measured and the problems named. This is how you find out whether the output is usable before any money changes hands, and it is also how we find out whether the job needs manual review time we should be quoting for.
We visit, measure the volume properly, and identify what will slow the job down: staples and treasury tags, oversized exhibits, bound volumes that cannot be cut, and files whose condition needs conservation handling. The quotation that follows is fixed for the scope surveyed.
Boxes are numbered, listed and signed for at your premises. You keep the manifest. Transport is in our own vehicles, never a third-party courier, and every box is tracked to a physical location in our facility that you can query at any point.
Removal of fasteners, repair of tears, scanning, OCR, indexing and quality control. Every batch is sampled at 2 percent for accuracy, and anything falling below the agreed threshold is re-processed rather than passed through.
Digital archive delivered on encrypted media or into your document management system. Physical files are returned in original box order, placed into managed storage, or destroyed with a certificate, exactly as your retention policy requires.
You are being asked to hand privileged client material to an outside contractor. That hesitation is correct and we would rather answer it in writing than reassure you in a meeting.
Every member of production staff signs an individual confidentiality undertaking, not merely a company-level agreement. Where a matter is particularly sensitive, we will execute a separate undertaking for that matter and restrict handling to a named team.
The production floor has no internet access, no removable media ports, and no personal devices. Files move between the scanning stations and the processing servers on an isolated internal network. Nothing your material touches can reach the outside.
We will also decline work. If a matter involves a party we already act for on the other side, we say so at the survey stage and stop. Conflict checking is run before every engagement.
